Accessible documents: accessibility in Word

3 min read taller Training

The importance of making accessible documents for people with disabilities is a fundamental premise in today’s society.

Today we leave you some instructions to improve the accessibility of documents in word.

Accessible Documents – Accessibility in Word

When documents are accessible, you unlock the content to all users so people with disabilities can read the content and work with your files.

This way you can, for example, add alternative texts to images so that people who use screen readers can hear what the image is about. You will also learn how to use colors and styles to maximize the inclusion of your Word documents before sharing them with other users.

Similarly, Word also offers the accessibility checker that locates elements that may cause problems for people with disabilities. This word processing-oriented computer program has many built-in features that help people with disabilities create and read documents.

The accessibility checker

In order to ensure that Office files are accessible, we recommend that you use the accessibility checker. It is a free tool available in Word, Excel, Outlook, OneNote and PowerPoint on Windows, Office for the Web and on Mac.

This finds most of the accessibility issues and explains why each can be a potential problem for someone with a disability. It also offers suggestions to solve each problem and problem.

Although the accessibility checker detects most accessibility problems, there are some that it cannot detect. To do this, it is important to visually review your work to find the problems that are hidden in the accessibility checker. We recommend that you visit this link  for more information.

Accessibility checker rules

It checks the file using a set of rules that identify potential problems for users with disabilities. Depending on the severity of the issue, Accessibility Checker classifies each issue as a bug, warning, or suggestion.

  • Error. Content that makes the document difficult or impossible for people with disabilities to read and understand
  • Warning. Content that in most (but not all) cases makes the document difficult to understand for people with disabilities
  • Hint. Content that people with disabilities can understand, but that could be presented differently to improve the user experience
  • Smart services. Content that is automatically made accessible by AI and that you should review for accuracy and context.
